A virtual assistant is only as good as the tools they use. Not really, but it sounded good right? The truth is having the right tools for the job is true even if you are a virtual assistant. That doesn’t just apply to handy men or women. There are so many great tools online in today’s world that can truly make your job easier, so why not utilize them?
Today we are going to look at the top five tools for a virtual assistant. I have been a virtual assistant now for almost eighteen years and these are my go to tools that I use daily in my business.
Top 5 Tools for a Virtual Assistant
#1 – Google Drive – I enjoy using Google drive for just about everything. My Google drive houses my client folders, SOPs (Standard Operating Procedures), business files, financial files, just about anything to do with my business. I enjoy using Google drive because the files sync in real time and you don’t have to wait for the other person to be able to see the changes. This is my favorite part about Google drive. I do pay for Google drive, but you can also use the free version.
#2 – Canva – Canva Pro is my go to software for creating graphics, lead magnets, presentations, Facebook event covers and more. Canva Pro is a paid service that is definitely worth the $12.99 a month. Some people think that Canva has a learning curve but it is worth it to learn it. For years if you wanted to create a professional looking graphic you would have had to either hire someone or learn a program like Adobe Illustrator or InDesign, but not anymore. Canva allos you to create a professional looking graphic yourself.
#3 – Asana – Asana is my project manager of choice. I use the free version of Asana and I love the ability to create different projects, task lists and sub-tasks. I like the fact that i can assign tasks to my team and see when they complete them . We also as a team use the messages feature to update each other about a client’s project. My favorite feature of Asana is the ability to repeat tasks so that I can keep up with tasks that are repetitive.
#4 – Clockify – Clockify is the timer that I use for business. As a virtual assistant I still work on an hourly basis alot. That means i need to keep up with the time it takes to do a project. Clockify gives you the ability to create projects, track time and share projects with team members. It also allows you to create reports for your clients. Clockify is a paid service and has an additional charge for each team member that you add.
#5 – Honeybook – Honeybook is my CRM (Customer Relationship Manager.) Honeybook helps me manage leads, send proposals, sign contracts with clients, invoice them and more. Honeybook is truly worth the money. Every single time I send a potential client to my Honeybook to read my How We Work document or a proposal they are so impressed by the look of professionalism that Honeybook gives me that they almost always ask me, “What program are you using for this?”
